1. Our commitment
Sentinel Emergency Management is committed to protecting the privacy of individuals who interact with us for the purpose of training enrolment, delivery, and compliance. We handle personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and obligations under the Standards for Registered Training Organisations (RTOs) 2015 where applicable through our auspicing arrangements.
2. What information we collect
We collect personal information necessary to provide training and meet regulatory obligations. This includes:
- Full name, date of birth, contact details (email, phone, address)
- Unique Student Identifier (USI)
- Emergency contact details
- Language, literacy, numeracy and digital (LLND) self-assessment responses
- Health declarations relevant to training participation
- Assessment responses, outcomes, and competency records
- Employment information (where required for AVETMISS reporting)
- Organisation or employer details (for corporate bookings)
- Payment information (processed via WooCommerce and our payment provider — we do not store card details)
- Training activity data collected for AVETMISS statistical reporting
3. How we collect information
Information is collected directly from you through our training portal at training.sentinelem.com.au, booking forms, registration processes, assessments, and communications with our staff. We may also collect information from your employer or supervisor where a corporate booking has been made on your behalf.
4. Why we collect it
We use your personal information to:
- Process enrolments, bookings, and payments
- Deliver training and assessment
- Issue certificates and statement of attainment records
- Meet AVETMISS reporting obligations to the National Centre for Vocational Education Research (NCVER)
- Meet obligations to our auspicing Registered Training Organisation and to the Training Accreditation Council (TAC) of Western Australia
- Send course reminders, assessor notifications, and administrative communications
- Maintain accurate training records for audit and compliance purposes
5. Disclosure to third parties
We may share your information with:
- Auspicing RTOs — to meet obligations under our auspicing arrangement and for AVETMISS submission
- Training Accreditation Council (TAC) and other relevant regulatory bodies where required by law
- NCVER — via AVETMISS statistical returns (de-identified where required)
- Payment providers — for processing course fees
- Service providers — including cloud hosting and platform services, bound by confidentiality agreements
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
6. Your USI
Your Unique Student Identifier (USI) is required for nationally recognised training under the Student Identifiers Act 2014 (Cth). We collect and verify your USI through the USI Registry, and it is used solely for the purposes of your training record and AVETMISS reporting.
7. Data storage and security
Your information is stored on secured servers within Australia. We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss, and unauthorised access. Our training portal uses HTTPS encryption and access controls appropriate to the sensitivity of the data held.
8. Retention
Training records, assessment outcomes, and certificates are retained for a minimum of 30 years to support ongoing certification verification. Other personal information is retained for as long as required by law or our legitimate business purposes, then securely destroyed.
9. Access and correction
You have the right to access and correct personal information we hold about you. You can view and update most information directly via the learner portal. To request access to records not available online, contact us at training@sentinelem.com.au. We will respond within 30 days.
10. Complaints
If you believe we have breached the Australian Privacy Principles, please contact us first at training@sentinelem.com.au. If not resolved to your satisfaction, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
